Air Time Gymnastics – Terms & Conditions

Membership

  • Spaces are allocated to those on our annual "Waiting List."
  • Waitlist members must respond to all space offers (accept or reject). Failure to respond will result in removalfrom the waitlist.
  • Air Time Gymnastics reserves the right to refuse admission or enrolment at any time.
  • If a space becomes available, you will receive an email offer. Ensure your contact details are up-to-date.
  • Incorrect or incomplete details in your Class for Kids account may result in losing your place.
  • Sessions begin only after completion of all enrolment steps.
  • non-refundable deposit of €50 must be paid before the first session to secure your child/gymnast’s place.
  • FIT100 Users: Members and their families are not permitted in adjoining astroturf before, during, or after sessions.

Term Fees

  • All deposits are non-refundable.
  • Fees must be paid on time before published deadlines.
  • Payment secures your child’s space in the class, not their attendance.
  • Fees vary depending on length of term; see the Term Schedule.
  • Strict No Refund Policy applies to all sessions (including classes, camps, etc.). This does not affect statutory consumer rights.
  • In exceptional cases, a voucher or partial refund may be offered at the discretion of the Manager/Head Coach. Requests must be in writing at least 7 days before the session/camp to:

  • Family Discount is applied at checkout.
  • ⚠️ Membership/Insurance fees are excluded from this discount.
  • All term fees must be paid through our management system.
  • No fees, no training policy: Outstanding balances will result in gymnasts being asked to spectate until payment is cleared.
  • A small administrative fee will apply if multiple invoices are requested.
  • Try-Out Sessions: Offered to waitlist members only.
  • Requires payment and a confirmation email.
  • Maximum of 2 try-out classes.

Change of Status

If there is any change in your child’s details (e.g., medical, learning needs, address or phone number), please:

  1. Update your Class for Kids account
  2. Inform us via email.

Timetable & Scheduling

  • Session times and age groups are subject to change due to demand or lack thereof.
  • Management reserves the right to change or cancel sessions.
  • Notifications will be sent via:
  • Email
  • WhatsApp
  • Social Media (Facebook, Instagram)

Communication & Notifications

  • New Term Information will be sent via email.
  • Last-minute changes or cancellations (due to weather, outages, etc.) will be communicated via one of the following:
  • Text
  • WhatsApp
  • Social Media
  • Email

Safety Guidelines

  • Prompt drop-off and collection are required.
  • Arrive on time – warm-up is crucial to injury prevention.
  • Performance Gymnasts must warm up before training.
  • No early drop-offs – children must not be left unattended before/after sessions.
  • Only gymnasts and coaches allowed in the gymnastics area.
  • Parents/guardians must wait outside during classes.
  • Under 16s must be dropped off and collected from the designated area.


Insurance & Membership Fee

  • Annual Payment (Sept–Aug): €40
  • (Applies to gymnasts aged 3–17)
  • Must be paid before participating in any session.
  • Strictly non-refundable.
  • Not included in the family discount.

Photography & Video Consent

  • By enrolling, you consent to:
  • Photos/videos being taken for promotion (website, social media, print).
  • Footage being used for coaching and judging education.
  • Parents are not allowed to record during sessions.

Food & Drink

  • Water only. Must be in a reusable bottle.
  • ❌ No single-use bottles, juice, fizzy drinks, or sports drinks.
  • No food allowed during sessions.
  • Eating permitted only during camps in designated areas.


Clothing & Appearance

  • Suitable clothing required:
  • ✅ Club gear, t-shirts, leggings, shorts, leotards
  • ❌ No denim, jeggings, school uniforms, very loose clothing
  • Gymnasts train barefoot (gym shoes optional). 
  • For sessions held at our FIT100 location (astroturf surface), black socks or gymnastics shoes are acceptable.
  • Hair must be tied back if shoulder length or longer.
  • No jewellery (small studs allowed).
  • No long or false nails.


Toileting & Hygiene

  • Children must be toilet-trained.
  • Must use the toilet before session starts.
  • Age-based supervision applies for toilet use:
  • Preschool/Tykes: Accompanied by parent (Fridays only)
  • 7 & under: Coach-accompanied (group)
  • 8–10: Go in pairs
  • 11+: Go alone
  • Toilets must be kept clean and tidy. No messing tolerated.


Personal Belongings

  • Label all belongings (especially water bottles).
  • Keep items in designated areas.
  • Do not bring unnecessary items (toys, electronics).
  • Air Time Gymnastics is not responsible for lost items.
  • Lost property will be stored near the gymnastics area or centre.


Behaviour Guidelines

We expect respect, courtesy and teamwork from all members (gymnasts, parents, guardians, etc.).

All members are required to treat the facilities and community centres with respect and adhere to their respective policies.

A. Minor Offences

  • Persistent talking/disruption
  • Disrespect or cheek
  • Harmless horseplay
  • Not following instructions

Sanctions:

  • Verbal warning
  • Time-out ("sin bin") 5–10 minutes


B. Serious Offences

  • Offensive language/gestures
  • Horseplay causing injury
  • Lying or cheating
  • Repeated disobedience

Sanctions:

  • Time-out up to 15 minutes
  • Formal warning with parent present
  • Temporary suspension


C. Critical Offences

  • Bullying (verbal, physical, cyber)
  • Theft or property damage
  • Arguing with staff

Sanctions:

  • Immediate time-out
  • Written warning
  • Suspension or removal from program

Parental Conduct & Communication

  • Parents must not enter the gymnastics area unless invited.
  • Can observe from outside but must not interrupt sessions.
  • Keep conversations low-volume during observation.
  • Coaches are unavailable for discussion during sessions.

Disciplinary Procedures

  • Behaviour breaches will be addressed calmly and respectfully.
  • Serious breaches: Two staff members will speak to the child privately.
  • Parents will be informed if necessary and included in discussions.
